The backstory

ELM wanted a smart solution to reduce the level of admin involved in their day-to-day business, from completing and managing customer sales and relationships, through to stock and task management. Their industry standard software involved spreadsheets and paper-based processes, which slowed operations down. Easy Living Mobility wanted to break the mold with a bespoke fully encompassing system, developed with their core values and key business needs at the heart of the process.

DISCOVERY PHASE

Easy Living Mobility wanted to move to a franchise model but they were being held back by industry standard software limitations which wouldn’t have supported such growth. ELM approached us with the aim to reduce the admin process and remove as much paper and spreadsheet based stages as possible, this resulted in a complete overhaul of their processes and a fully encompassing system being produced.

EPOS

The EPOS system has been designed with the journey from a customer and a user's perspective in mind, meaning the sale process from start to finish is as easy as possible while gathering all the required information. The system integrates with the hardware and the rest of the ELM system to help with stock management and admin levels.

Fully encompassing ERP

ELM now have one central system that covers and monitors every aspect of the business, holding all the data in one place. This makes it easy for each store to update and maintain customer accounts and to manage stock levels. Admin staff also have use of the EPOS and can manage ELM users and Franchises from a senior level.

Mobile Application

The engineers also have their own mobile app that allows them to access their visit schedule, view their daily jobs list and complete paperwork details when delivering products and services to customers. Engineers can even make sales from the application whilst on the road.

E-Commerce Website

On top of this ELM also have an E-Commerce site where users can order products online. The site integrates with ELM's EPOS system to manage stock details and process orders.

THE PROCESS

The process with ELM has been an interesting collaborative journey, establishing their goals in the initial meeting to seeing them come to life throughout the project. ELM have seen first hand the potential custom software can bring to a business and have shared our excitement throughout every aspect of the journey with us; resulting in an all encompassing industry leading piece of software.

WHAT THEY WANTED

Initially ELM wanted a solution to their long admin processes. Previously they had been using MindBody, software as a service (SaaS) that is used a lot by the healthcare industry, but for ELM to develop a franchise model it would no longer be fit for purpose. Their processes also heavily relied on spreadsheet supported and paper-based processes.

ESTABLISHING A SOLUTION

In the initial meetings we established ELMs future goals and growth plans which played a huge factor in them coming to speak to us in the first place. With that in mind we mapped out their pain points and exactly what was participating to stunting their growth and holding them back from developing their franchise model. From here we put together wireframes and the specifications that solved these issues.

THE JOURNEY

ELM have been on a huge journey with us, learning how custom software can truly revolutionise a business. Developing the EPOS has presented challenges along the way for our team but by collaborating with ELM we have ensured every i has been dotted and t has been crossed. We have left no stone unturned on this project, overhauling the entire business administration to minimise process length and eliminate the need for paper-based or spreadsheet supported processes, whilst including the customer focus and attention to detail that makes ELM unique.

THE SUCCESSES

Seeing ELM come to life throughout the journey has been incredible for us. We have worked with them taking steps to help them to achieve the goals that were identified in the Project Kick-off Meeting - and that’s just the beginning for them! Some of the features that will continue to contribute to this growth are:

Reduced Admin

The implementation of the system is expected to result in a drastic reduction in admin. The majority of their processes will now be automated, as each aspect of the system communicates with each other. It will also take away the need for spreadsheets and paper-based systems. This reduction will allow ELM to focus on other aspects of the business instead of paperwork.

Improving customer experience

With a focus on ELM’s customer and user experience throughout development, the sales process has been optimised within stores and online through the creation of an in store epos system and an online E-Commerce system.

Managing everything from one location

Having all of the data in one place will help ELM create and manage their franchise model and will make it easier to analyse the data for business intelligence. It will also ensure that management can track stock and orders, effectively managing sales.

Streamlining Processes

From system admin through to day to day in-store interactions, we are developing a solution to automate and reduce the length of the process, to allow ELM to focus on other aspects of the interaction for customer satisfaction. From a business perspective this will also allow ELM to statistically complete more transactions and manage the process easily.
